WA Workplace Vaccinations (WAWV) Transparency and Pricing Policy
At WAWV, we prioritize clear and transparent communication regarding our service charges. Our clients are generally billed based on the number of influenza vaccinations administered, according to the pricing previously outlined in our communications. While our pricing structure is straightforward, there may be instances where additional fees apply, such as for rural locations.
Should there be any anticipated additional fees beyond the standard vaccination charges, WAWV commits to notifying clients promptly, providing a detailed quote to ensure all potential costs are clearly understood ahead of time. Our aim is to minimize unexpected expenses, working closely with you to ensure a smooth and cost-effective vaccination program.
Client Engagement and Promotion Responsibility
It is the client’s responsibility to actively promote the influenza vaccination program within their organization. This effort is crucial to ensure the anticipated number of vaccinations aligns with actual participation, maximizing the program’s impact and efficiency.
Booking and Confirmation Process
To secure a vaccination clinic, clients are required to complete a confirmation process through a specific link provided by WAWV. Following submission, we will confirm the vaccination clinic’s date and time and supply all necessary promotional and informational materials (e.g., consent forms, educational packs, and promotional posters).
Service Delivery
Once a date is mutually agreed upon, WAWV will outline the services to be provided in a detailed delivery schedule. Clients may request adjustments to this schedule, subject to our Service Cancellation and Postponement Policy outlined below.
Service Cancellation and Postponement Policy
Cancellations or postponements must be communicated in writing at least 10 business days prior to the scheduled service to avoid fees. Notices given within 10 business days will incur a $149 charge per scheduled clinic, increasing to $299 for notices within 5 business days. For regional/rural clinics, cancellations within 10 business days will result in charges covering all associated clinic costs.
An administration fee of $99 + GST applies for any changes requested within 5 business days of the scheduled service, facilitating any necessary adjustments to the booking.
Invoicing and Payments
Payment terms require settlement within 14 days from the invoice date, with late payments subject to a 12% per annum late fee after 45 days.
Pharmacist On-Site Time
Our pharmacists are scheduled based on an efficient vaccination rate to minimize disruption and maximize throughput. If the number of vaccinations per hour falls below the expected rate, additional charges may apply to cover extended pharmacist onsite time. We strive to adjust service times in advance to avoid such charges, contingent on timely client communication.
Operational Hours
Vaccination services scheduled outside of standard operational hours (8:00 am to 6:00 pm) will incur an additional surcharge. This fee compensates for the extended operation times requested by the client.
Parking and Travel
Rural travel expenses are calculated for locations beyond a specified radius from the CBD. These will be detailed clearly prior to acceptance of the booking.
